Privacy Policy

This Privacy Policy governs the manner in which UCLA Student Media collects, uses, maintains and discloses information collected from users (each, a “User”) of the recruitment portal at apply.uclastudentmedia.com (the “Site”). UCLA Student Media operates under the ASUCLA Communications Board and is the parent organization of the Daily Bruin, BruinLife, UCLA Radio and the identity-based newsmagazines.

PERSONAL IDENTIFICATION INFORMATION

We collect personal identification information from Users when they register on the Site, complete their profile, apply to a position, and in connection with other activities, services, features or resources we make available. Users may be asked for, as appropriate, name, email address, phone number, BruinCard number, pronouns, major, expected graduation term and year, and transfer status. We collect this information only if a User voluntarily submits it. A User can always refuse to supply it, except that doing so may prevent them from applying.

Your BruinCard number is collected when you register. We use it to recognize you as one person across the portal and to prevent a second account being created for someone who already has one.

WHEN YOU APPLY

An application adds the answers you write to that publication’s questions, and, where you choose to upload one, your résumé and its file name. Résumé files are stored privately and are served only to signed-in reviewers with a reason to see them.

VOLUNTARY SELF-IDENTIFICATION

We invite applicants to tell us their race, gender, veteran status and disability status. Answering is entirely voluntary, every question offers a way to decline, and nothing you answer or decline to answer affects any decision about your application. We collect it so that UCLA Student Media can measure whether its recruitment reaches the whole campus, and we report on it only in aggregate.

WHAT EDITORS CAN SEE

The editors who read your application are students. They see your name, contact details, academic information, résumé and your answers to their questions. They do not see your self-identification answers, your BruinCard number or your pronouns, which are restricted to Student Media staff administrators. This is enforced by the portal itself rather than by instruction.

NON-PERSONAL IDENTIFICATION INFORMATION

We may collect non-personal identification information about Users whenever they interact with the Site, which may include the browser name, the type of device and technical information about a User’s means of connection, such as the operating system and the internet service provider.

When you sign a membership agreement in the portal, we record the date and time, your IP address and your browser’s identifying string alongside your signature, so that the signature can be shown to be yours.

WEB BROWSER COOKIES

The Site uses cookies to keep you signed in and to keep your session secure. We do not use advertising or tracking cookies. A User may set their browser to refuse cookies, but the Site cannot sign you in if it does.

HOW WE USE COLLECTED INFORMATION

  • To run recruitment: to let you apply, to let the publication you applied to review your application, to schedule interviews, and to tell you what was decided.

  • To administer training: to record which required workshops you have attended and to determine whether you have completed the training a position requires.

  • To contact you: to verify your email address, reset your password, answer what you ask us, and send you notices about your application, your training and your membership.

  • To send text messages: where you have given us a mobile number and agreed to receive them, to send reminders and notices about workshops, deadlines and your application.

  • To improve the Site: to understand in aggregate how applicants use the portal, and to fix what does not work.

TEXT MESSAGES

If you provide a mobile number and consent to receive text messages, we use it to send you reminders and notices about your application, workshop attendance and deadlines. Message frequency varies with your activity in the portal. Message and data rates may apply. You can stop the messages at any time by replying STOP, and you can reply HELP for assistance or write to [email protected]. Carriers are not liable for delayed or undelivered messages.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as the messaging provider that delivers the text, is permitted. All other use is excluded. Text messaging originator opt-in data and consent are never shared with any third party.

HOW WE PROTECT YOUR INFORMATION

We adopt appropriate data collection, storage and processing practices and security measures to protect against unauthorized access, alteration, disclosure or destruction of your personal information, your password and the data stored on the Site. Passwords are stored only in hashed form and cannot be read by anyone, including us.

SHARING YOUR PERSONAL INFORMATION

We do not sell, trade or rent Users’ personal identification information to anyone. Within UCLA Student Media, your application is visible to the editors of the publication you applied to and to Student Media staff administrators, as described above. If you are accepted and complete training, the information needed to create your Student Media account is passed to the UCLA Student Media administrative staff who provision it.

We use service providers to operate the Site, including hosting, file storage, email delivery and, where applicable, text message delivery. They may process your information only to perform those services for us.

HOW LONG WE KEEP IT

We keep your account, your applications and your training record for as long as they remain part of the recruitment and membership history of UCLA Student Media. An application is a record of something that happened, and we keep it after the cycle closes. If you want your account closed, write to us at the address below.

THIRD PARTY WEBSITES

Users may find links on the Site to the sites of our publications and of other third parties. We do not control the content of those sites and are not responsible for the practices employed by them. Browsing and interaction on any other website is subject to that website’s own terms and policies.

COMPLIANCE WITH CHILDREN’S ONLINE PRIVACY PROTECTION ACT

Protecting the privacy of the very young is especially important. For that reason, we never collect or maintain information at the Site from those we actually know are under 13, and no part of the Site is structured to attract anyone under 13.

UCLA Student Media has the discretion to update this Privacy Policy at any time. When we do, we will revise the updated date at the top of this page. We encourage Users to check this page for changes, and you acknowledge and agree that it is your responsibility to review this Privacy Policy periodically.
